Privacy Policy

LocalGov AI is an independent, non-profit community project and unincorporated association. We are not a registered charity or company. This policy explains what personal data we handle, why, and the rights you have under the UK GDPR and the Data Protection Act 2018.

1. Who we are

LocalGov AI ("we", "us", "our") is a volunteer-run community of UK local-government practitioners producing open-source AI governance frameworks. As an unincorporated association we act as the data controller for the limited personal data described below. You can reach us at [email protected].

2. What data we collect

Newsletter details — the email address you give us when subscribing to framework updates.
Working-group participation — name, work email and council/organisation when you join a working group.
Correspondence — anything you send us by email.
Usage data — anonymised, aggregate analytics collected only with your cookie consent (see our cookie policy).

The AI Readiness Tool runs entirely in your browser. Your answers and score are never transmitted to us or stored.

3. Why we use it & our legal basis

To send framework updates you asked for — legal basis: consent.
To run working groups and coordinate contributors — legal basis: legitimate interests.
To respond to your enquiries — legal basis: legitimate interests.
To improve the site through anonymised analytics — legal basis: consent.

4. Sharing & processors

We do not sell your data. We share it only with the service providers needed to run the project — for example an email-delivery provider and a privacy-respecting analytics provider — each acting under contract as our data processor. We never pass your details to AI vendors.

5. How long we keep it

We keep newsletter and working-group data only while you remain subscribed or active, and delete it within 12 months of you leaving or asking us to. Anonymised analytics are retained in aggregate only.

6. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your data, and to withdraw consent at any time. To exercise any of these, email [email protected]. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
